Payroll Specialist

Location: Delta, B.C.

In this dynamic, fast-paced environment, the Payroll Specialist is responsible for processing accurate and on-time full-cycle payroll for Canadian, US and Australia staff and/or unionized employees. This position will respond to payroll & benefit enquiries in a timely manner with a customer service focus for both internal and external customers. Reporting to the Director, Human Resources this position will support and act as a backup for our existing Payroll & Benefit Specialist for vacation coverage and working with the Human Resources team on related initiatives.

Duties and Responsibilities

  • Maintain professionalism and act in a manner consistent with FPI mission and guiding principles
  • Follow all organizational Health & Safety programs; actively participate in Health & Safety training with the purpose of gaining knowledge and understanding
  • Contribute to a positive work environment focusing on Lean and continuous improvement initiatives
  • Accurately process full-cycle bi-weekly payroll for Canadian, US and Australia staff and / or unionized employees, spanning multiple provinces/states in the payroll system (ADP Workforce Now) in compliance with the specific jurisdiction and guidelines
  • Enter information related to new hires, employee changes, and terminations into the payroll system
  • Process new hire enrollment and termination of benefits
  • Reconcile, file and remit monthly and quarterly payments to WCB, EHT and other relevant entities
  • Maintain accounts and respond to enquiries from WCB, EI and other relevant entities
  • Resolve time entry/coding issues and assist with time entry as needed
  • Collect and review payroll reports from the payroll system
  • Respond to payroll & benefit inquires in a timely manner; assist with annual renewals and updates
  • Act as the backup for vacation coverage for payroll processing; cross-train to ensure comprehension of all relevant duties
  • Ensure accurate data is kept within the payroll system, Time & Attendance module, benefit portals and other applicable systems
  • Create, maintain, and verify the accuracy of various reports within the payroll system (ie. union/job costing) and established procedures and internal controls
  • Process payroll reconciliations, working papers, analysis and journal entries on a bi-weekly/monthly basis
  • Ensure accurate records are kept and filed timely within the appropriate payroll and/or employee files
  • Other related duties as assigned


  • Strong organizational skills; able to prioritize and effectively manage multiple tasks simultaneously
  • Demonstrated attention to detail
  • Excellent communications skills (written/verbal) in English, with an emphasis on customer service
  • Ability to maintain a high degree of confidentiality
  • Ability to work both independently (with minimal supervision) and within a team environment
  • Strong understanding of Canadian payroll practices/procedures and applicable legislation
  • Strong working knowledge of a variety of programs, including MS Excel, Word, Outlook, and payroll systems


  • High School diploma or equivalent required
  • Payroll Compliance Practitioner (PCP) certification through the Canadian Payroll Association preferred  
  • Training and/or coursework in Accounting/Finance is as asset


  • Minimum 2 years of experience processing full-cycle Canadian payroll
  • Previous experience with US and/or International payroll compliance/legislation is an asset
  • Previous experience working with ADP Workforce Now is an asset
  • Previous experience and/or familiarity with benefits administration is an asset
